Now that your retreat is marketed and your participants are enrolling, it’s time to shift into final preparations so you can bring your vision to life with ease and grace. This milestone is about moving from planning to execution—making sure all details are complete, your guests feel welcomed, and you feel grounded and ready to hold space.

This isn’t just about logistics—it’s about intentionally creating the container for transformation. You’ll finalize your retreat flow, confirm venue details, and set up touchpoints with participants. And just as importantly, you’ll establish boundaries and self-care rituals so that you arrive fully present and resourced.

By breaking it into daily action steps, you’ll move into retreat week with clarity, confidence, and calm.


📅 Weekly Rhythm + Action Steps

This checklist is designed for ONE MONTH before your retreat. Set aside 1–2 hours a day to complete each step with focus and ease.

Day 1: Structure
✅ Finalize your daily retreat flow (sessions, meals, rest times)
✅ Align the flow with your retreat theme + outcomes

Day 2: Materials & Rituals
✅ Prepare session materials (handouts, journals, props)
✅ Create playlists + gather ritual items or altar pieces

Day 3: Team Support
✅ Assign roles for co-facilitators, assistants, or volunteers
✅ Confirm who is covering logistics (check-in, meals, photography, transport)

Day 4: Guest Connection
✅ Schedule pre-retreat calls or group chats to connect with participants
✅ Send reminder emails/messages with final details

Day 5: Venue & Vendors
✅ Confirm logistics with venue + vendors (lodging, meals, transportation)
✅ Double-check contracts, arrival times, and dietary needs

Day 6: Gifts & Touches
✅ Purchase/prepare welcome gifts for participants
✅ Pack and prepare them to be ready on arrival

Day 7: Self-Care & Presence
✅ Set boundaries + rituals for yourself before retreat begins
✅ Block off rest, journaling, meditation, or movement
✅ Communicate boundaries with your team/family

✅ Share your excitement + let the community celebrate you!
